Position Overview:
The Resource Coordinator plays a key role in ensuring the effective delivery of community participation services. This position supports the efficient and responsive coordination of services aligned with client goals, agency values, and sector standards. Working closely with program teams, families, and individuals, the Resource Coordinator ensures best practices are implemented and program resources are optimized. This position also requires the flexibility to step into frontline support roles as needed.
Key Responsibilities:
Under the supervision of the Program Manager, the Resource Coordinator will:
âĒ Collaborate with program-specific teams to optimize the use of resources and ensure the implementation of high-quality support strategies.
âĒ Assist with the implementation of any program changes or enhancements.
âĒ With direction from the Program Manager, create, implement, and monitor program work plans to meet service delivery requirements.
âĒ Liaise with individuals, families, and internal teams to assess staffing needs and maintain high-quality service delivery.
âĒ Coordinate scheduling, supplies, and logistics to ensure smooth facilitation of program activities.
âĒ Support the intake and transition process for new individuals entering service.
âĒ Assist individuals and families in the development and monitoring of Passport or individualized funding plans.
âĒ Communicate with families regarding changes to supports, programming, or other important updates.
âĒ Ensure all client-specific information is accurate and promptly entered into our database.
âĒ Support the orientation and onboarding process for new staff members.
âĒ Support with data entry, billing processes, and monthly reporting related to program activities.
âĒ Compile and submit a Monthly Report to the Program Manager.
âĒ Prepare deposits related to community participation fees.
âĒ Complete invoicing and submit to the Program Manager for review.
âĒ Monitor monthly budgets for each program group and ensure fiscal responsibility.
âĒ Submit grocery receipts and petty cash requests to the Program Manager monthly.
âĒ Provide input and feedback on administrative needs to support effective program delivery.
âĒ Perform other duties as necessary to support overall program success.
âĒ Provide direct frontline support as needed in response to program or staffing needs.
Qualifications & Requirements:
âĒ Post-secondary education in a relevant field (e.g., Social Services, Developmental Services, Community Support) or equivalent experience.
âĒ Strong organizational and time management skills.
âĒ Proficiency in data entry, invoicing, reporting, and case management software.
âĒ Experience with budgeting, petty cash, and basic financial tracking processes.
âĒ Demonstrated ability to work collaboratively across teams and communicate effectively with individuals and families.
âĒ Ability to coordinate, schedule, and adjust program operations, including logistics, staffing, and resources.
âĒ Willingness and capability to provide direct frontline support when required.
âĒ Knowledge of Passport funding and community participation models is considered an asset.
âĒ Ability to manage multiple priorities while maintaining attention to detail and meeting deadlines.
